Unit Secretary, Adult Diabetes Education Program (CUPE)- Full Time Temporary (Until March 1st, 2025) – Markham Site

What we are looking for:

The Unit Secretary is a valuable member of the Adult Diabetes team and has a significant impact on the efficient and effective operation of the program. The successful candidate will be responsible for both administrative support and receptionist duties.


Specifically, your duties will include:

  • Leading coordination and booking of South Asian and South East Asian language satellite clinics and associated programs with the program Registered Nurse and Registered Dietitian
  • Scheduling clinic appointments for initial and follow-up visits
  • Coordinating telephone reminder appointments to patients
  • Calling and rescheduling patients as per patient request or operational needs
  • Registering patients and chart preparation
  • Anticipating the needs of the clinic and ordering supplies for program, photocopying and filing
  • Performing special projects as assigned
  • Coordinating virtual appointments and obtaining consent for virtual care
  • Manage schedules for interprofessional team, which includes managing resources within MEDITECH community wide scheduling
  • Communicating effectively with the interprofessional team



  • Minimum of three years previous unit secretary/medical clerical experience; in an acute hospital outpatient clinic environment is required 
  • Completion of medical terminology course or equivalent
  • Previous experience in a fast paced environment with a strong customer service focus
  • Bilingual in South Asian languages an asset
  • Bilingual in South East Asian languages is required (Mandarin/Cantonese)
  • Proficient computer skills and recent experience with Microsoft Office (Word and Excel), MEDITECH and virtual care platforms
  • Previous experience with patient scheduling systems
  • Strong customer service, interpersonal and written and verbal communication skills
  • Excellent telephone manner and customer service
  • Ability to prioritize and manage multiple demands in a fast pace environment
  • Proven ability to multitask and maintain accuracy while balancing competing priorities/performing various tasks
  • Strong critical thinking, problem solving and decision-making skills with evidence of a high attention to detail
  • Excellent accuracy of work
  • Strong initiative to get work done
  • Excellent organizational skills and proven ability to manage multiple tasks in a fast paced environment
  • Demonstrated ability to work effectively within an interprofessional team as well as independently
  • Demonstrated good attendance and performance records with the ability to maintain these same standards
  • Demonstrated commitment to a healthy and safe workplace for self and others (staff, patients, families, etc.) by taking all reasonable precautions and working in compliance with organization related policies, health and safety legislation and best practices and completing relevant mandatory education as required


Work Schedule:

The successful candidate is required to work 0730/0800/1000-1530/1600/1800

 Schedules may change due to operational needs and clinic demands.



Salary Band
CUP C03: $24.38 – $27.43 per hour
$47,541 – $53,488 per year
