Executive Assistant – Pharmaceutical Research

This is a Contract position in Markham, on posted November 19, 2021.

A very well reputated company in the field of pharmaceutical research is looking for the help of a seasoned and dynamic assistant for its VP of medical affairs.

Key Responsibilities: Supports senior management and the Medical team to establish agendas for internal and external meetings, including Advisory Board Meetings.

Supports with diligence, consistency and accuracy the tracking of medical activities for Sunshine Act reporting.

Supports Medical Affairs with the management of the scientific publications.

Assumes responsibility for document management (filing, scanning and archiving) and provides administrative support to the Medical Affairs department in order to ensure its proper functioning (including contracts, purchase orders with suppliers, expense reports, procurement of office supplies, accounting and budget management, emails, scanning, photocopies, etc.).

Supports the Medical team in respect of contracts, agreements with medical vendors, clinical sites, investigators, etc.

Manages calendars and meetings (remote and in person); organizes business trips.

Prepares and review presentations and various correspondences.

Facilitates and ensures appropriate level of diligent support to keep the team’s timelines and deadlines up to date and on target for the timely execution and implementation of all projects, presentations, reports, etc.

Carries out the assigned follow-ups and any other needed tasks, in conformance with the department’s objectives and in adherence with standard operating procedures for the function.

Demonstrates initiative and proactivity to anticipate the needs of the Medical Affairs team, working in synergy and with consistency to support the objectives of the team.

Qualifications Excellent English written and spoken; French spoken and written strong asset; Coordination skills is very important; 3-5 years min in a similar role; Knowledge of the pharma industry very helpful; Excellent organizational skills to support efficient electronic file management, whereby medical files are well structured and organized; Any experience with professional meeting coordination that involves contracting using templated contracts and professional payments would be a strong asset.
